Privacy Policy

KnowDDI collects only the information needed to provide free member access, deliver requested field notes, understand how the learning material is used, keep accounts secure, and review community suggestions.

Information we collect

When you continue with Google, Google shares basic profile information such as your name, email address, profile image, and account identifier. When you continue by email, KnowDDI stores the address you submit and sends a single-use sign-in link to that inbox. KnowDDI stores account and session records so you can sign in. We do not receive or store your Google or email password.

When you request monthly DDI field notes, KnowDDI stores the email address, subscription status, signup source, and relevant timestamps. The address is not added to the active mailing list until you confirm the request from your inbox. Subscription and unsubscribe links use security tokens so those preferences can be changed without a KnowDDI account.

When you suggest a lesson or correction, we store the content you submit with your account name, email, and user identifier. We also store its review status, editorial history, and any published-content link. We process connection and browser information for session security and abuse prevention. Suggestion rate limiting stores a one-way hash derived from the connection address.

When analytics is configured, KnowDDI records page views and learning interactions such as lesson starts, glossary searches, copied links, related-term visits, confirmed field-note subscriptions, and submitted suggestions. Search analytics records result counts and the top matching glossary entry rather than the text typed into the search box.

How information is used

Account data is used to authenticate you, maintain your session, attribute private submissions, send submission receipts and review updates, respond when follow-up is useful, and protect the service. Field-note data is used only to confirm the request, send the monthly note, and honor unsubscribe choices. Analytics is used to understand which learning material is useful and what should be improved. Suggestions and internal editorial notes are reviewed privately and are never published automatically. KnowDDI does not sell personal information.

Storage and retention

Account, suggestion, and field-note subscription data is stored in a private database on the KnowDDI server. Email sign-in tokens are stored as one-way hashes, can be used once, and expire after 15 minutes. Field-note confirmation tokens are also stored as one-way hashes. Sessions normally expire after 30 days. Account records are retained while the account is active, suggestions are retained while they remain useful to the editorial process or are required for security and legal purposes, and unsubscribed addresses are retained as a suppression record so the preference can be honored.

Third-party services

Google provides social authentication and, when configured, Google Analytics under its own privacy terms. KnowDDI’s configured email delivery provider processes the destination address and message content to deliver passwordless links, field-note confirmations, monthly field notes, suggestion receipts, and review updates. Embedded lessons use YouTube’s privacy-enhanced domain; YouTube may process information when you play a video. Linked standards and external resources are governed by their respective sites.

Your choices

You can sign out at any time. Every monthly field note includes an unsubscribe link, and no field notes are sent until the email address is confirmed. To request access to or deletion of your KnowDDI account or subscription data, email privacy@knowddi.com. Deleting a KnowDDI account does not delete your Google account or email inbox.

This policy may be updated as KnowDDI evolves. Material changes will be reflected on this page with a new review date.
